Quality Assurance Department

What is the PSBU Quality Assurance Department?

The PSBU Quality Assurance (QA) Department is the institutional unit responsible for coordinating, monitoring, documenting and strengthening quality across academic and administrative activities. It supports a structured and transparent system through which teaching, learning, assessment, programme delivery, student support, staff performance, governance documentation and institutional services are regularly reviewed against PSBU standards, relevant regulatory expectations and approved university policies.

The Department promotes evidence-informed management and continuous improvement by collecting and reviewing quality data, coordinating internal monitoring and audits, supporting programme and assessment review, tracking corrective actions, maintaining QA evidence, and preparing reports for institutional decision-making and external review. It works collaboratively with academic departments, programme leaders, lecturers, administrative units, student-support teams and university management.

Purpose of the Quality Assurance Department

– Maintain a consistent institutional framework for academic and administrative quality assurance.Monitor compliance with PSBU policies, approved academic standards, documented procedures and regulatory expectations.

– Support high-quality teaching, learning, assessment and student experience through systematic review and follow-up.

– Provide reliable evidence and data for institutional planning, programme review, accreditation, audit and external evaluation.

– Identify quality gaps and coordinate corrective and preventive actions with responsible units.

– Strengthen accountability, transparency, documentation, staff development and cross-departmental coordination.

– Embed continuous improvement into regular university planning, implementation, review and decision-making.

QA Meeting, Review and Decision-Making Process

  1. Quality issues, review findings, data trends, programme matters or follow-up items are submitted with the required evidence.
  2. The QA lead confirms the agenda and identifies items requiring review, recommendation, action, escalation or information.
  3. Relevant data, documentation, student feedback, audit findings and academic implications are considered objectively.
  4. Required improvement actions are defined with a responsible person or unit and an appropriate target date.
  5. Decisions, recommendations and action items are recorded in formal minutes or QA records.
  6. Corrective and improvement actions are monitored through the QA tracking system until verified as completed or formally closed.
  7. Significant findings, trends and unresolved risks are reported to the appropriate academic or university authority.

Meeting frequency. PSBU’s published QA Terms of Reference provides for regular QA team meetings and allows special meetings when required for inspections or significant academic events. Formal decisions should be recorded in meeting minutes.

Transparency, Confidentiality and Data Integrity

Quality assurance depends on reliable evidence and responsible information handling. PSBU should make appropriate policies, approved summaries, non-confidential minutes and quality information accessible while protecting personal data, assessment materials, restricted records, commercially sensitive information and other confidential documentation. QA records should be accurate, traceable, securely retained and subject to appropriate access and version control.
